Terms and conditions for The Women’s Health Clinic

These terms set out the general basis on which The Women’s Health Clinic provides appointments, consultations, treatments, packages and related services.

Please read these terms carefully before booking or purchasing services. By booking an appointment, consultation, treatment, package or service with us, you agree to the relevant terms in force at the time of booking.

These terms are intended to be read alongside any service-specific information, consent forms, aftercare instructions, privacy notices, cancellation policies and written information provided to you before or during your care pathway.

Service terms

Our general terms of service

These sections explain our general approach to appointments, deposits, cancellations, packages, suitability, liability, complaints, offers and competitions.

1. Appointments +

All practitioners at The Women’s Health Clinic are trained and approved in accordance with our treatment protocols. We will always aim to provide continuity of care where possible, but we cannot guarantee treatment with a named practitioner.

Before your appointment, we may provide preparation instructions. If you do not follow relevant preparation guidance, this may result in cancellation, reduced treatment time, postponement of treatment or additional fees.

For your first visit, we recommend arriving 15–20 minutes early where possible so that any required forms, consent documents or questions can be addressed before your appointment begins.

If you arrive late, your treatment time may be reduced or the appointment may be treated as missed, depending on clinic capacity, treatment type and safety requirements.

Please do not bring children under the age of 16 to the clinic unless another responsible adult is present to supervise them. The Women’s Health Clinic is unable to provide childcare services.

We will endeavour to ensure your appointment runs on time. If we need to cancel or change an appointment, we will make reasonable efforts to contact you and rebook at a convenient time, subject to availability.

2. Deposits, booking fees and payments in advance +

To secure certain appointments, consultations, treatments or packages, we may ask for a deposit, booking fee or advance payment at the time of booking.

Where a deposit is taken, it will usually be redeemed against the appointment, consultation, treatment or package fee unless stated otherwise at the time of booking.

Deposits and payments in advance may be non-refundable where an appointment is cancelled late, missed, or where clinic time, practitioner time or reserved services have been held for you. This is subject to applicable law and any specific written terms given to you at the time of booking.

If you are booking a service described as a free consultation and a deposit or reservation payment is taken, the refund or redemption terms will be explained at the point of booking or confirmation.

Payments, deposits or credits that remain unused for more than 12 months may expire or be treated as payment for reserved services, unless we agree otherwise in writing or the law requires a different outcome.

3. Cancellation, rescheduling and missed appointments +

Our cancellation policy is designed to help us manage appointment availability and offer cancelled appointment times to other patients where possible.

If you need to cancel or reschedule, please contact us at least 48 hours before your appointment.

Cancellations, rescheduling requests or non-attendance within 48 hours of the appointment may result in loss of the deposit, booking fee or treatment from a prepaid course or package.

If you do not attend your appointment, or attend too late for treatment to be carried out safely or properly, we may treat the appointment as missed and redeem the relevant deposit, fee or treatment session.

Where different cancellation terms are provided for a particular service, offer, event, package or clinic pathway, those specific terms may apply.

4. Online, telephone and distance bookings +

If you book online, by telephone, by email, through a remote booking system or otherwise at a distance, certain statutory cancellation rights may apply depending on the nature of the service, the timing of the appointment and whether the service has already started or been provided.

If you ask us to begin providing a service during any applicable cancellation period, you may be asked to confirm that you want the service to start and that charges may apply for services already provided.

Where a service has been fully performed with your agreement during any applicable cancellation period, your right to cancel may be affected. This does not affect rights that cannot lawfully be excluded.

Nothing in these terms affects your statutory rights.

5. Pricing, quotations and payment methods +

Consultation and treatment prices may vary by clinic, practitioner, treatment pathway, package, promotional period or clinical requirement.

Where a written quotation is given and is not subject to promotional terms, the quotation will usually be honoured for the period stated in the quotation. If no period is stated, we may withdraw or amend the quote before booking or treatment.

Prices listed on the website are provided as guidance and may be updated from time to time. If there is a difference between website pricing and a written quote or booking confirmation, we will clarify this before treatment where possible.

We ask that payment is made by card, contactless payment or other approved payment method where possible.

Payment is usually required before or at the time of treatment unless otherwise agreed in writing.

6. Courses, packages and prepaid treatments +

Courses, packages and value packs must usually be paid for in full before the first treatment, unless otherwise agreed in writing.

Treatments from a course or package should normally be used within 12 months of purchase, unless a different expiry period is stated at the time of purchase or advised during consultation.

Unused treatments may expire after the relevant period and may not be refundable, transferable or redeemable for cash.

Packages are often priced to reflect a promotional or discounted course rate. If we agree to refund part of a package in exceptional circumstances, we may calculate any refund by deducting the standard individual treatment price for sessions already delivered, rather than the discounted package rate.

Treatments may sometimes be transferred between clinic locations, but this may depend on practitioner availability, equipment availability, clinical suitability and whether repeat consultation, assessment or test patching is required.

7. Suitability for treatment and medical information +

We will assess whether treatment is suitable before carrying out treatment. Suitability depends on factors such as symptoms, medical history, medication, previous procedures, assessment findings, treatment goals and practitioner judgement.

You are responsible for providing accurate, complete and up-to-date information about your medical history, medications, allergies, previous treatments and any relevant changes before each appointment.

Our practitioners may decline, delay, amend or stop treatment if they consider that it is not appropriate, safe or in your best interests.

If treatment is declined because it is not suitable, we will explain the position where appropriate and any refund will be considered in line with the circumstances, work already carried out, appointment time reserved and applicable law.

Consent forms, consultation records and treatment information must be read carefully. We cannot provide treatment without appropriate consent.

8. Treatment expectations, aftercare and results +

Clinical outcomes and treatment experiences vary between individuals. We do not guarantee any specific outcome, result or timeframe.

You must follow any pre-treatment and aftercare instructions provided to you. Failure to follow instructions may affect treatment suitability, results, recovery or safety.

If you experience unexpected symptoms or concerns after treatment, please contact us promptly using the contact details provided to you. If you experience a medical emergency, seek urgent medical help immediately.

9. Liability +

Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any liability that cannot lawfully be excluded or limited.

Subject to the above, The Women’s Health Clinic will not be liable for indirect, special or consequential loss, loss of profit, loss of opportunity, or loss arising from failure to provide accurate medical information, failure to follow pre-treatment or aftercare instructions, or failure to attend appointments.

You agree to comply with reasonable instructions and recommendations given by, or on behalf of, The Women’s Health Clinic regarding preparation, treatment, consent, aftercare and follow-up.

10. Offers, promotions and discounts +

Offers, promotions, discounts, vouchers and packages are subject to availability, eligibility, clinical suitability and any specific terms stated at the time of the offer.

Unless stated otherwise, offers cannot be used with any other offer, discount or promotion, cannot be exchanged for cash and are non-transferable.

Offers may apply only to selected clinics, selected services, selected practitioners, new clients, stated dates or specific appointment types.

The Women’s Health Clinic may withdraw, amend or extend offers at any time, subject to applicable law and any confirmed booking terms.

If there is a conflict between general terms and offer-specific terms, the offer-specific terms will usually apply to that offer, unless the law requires otherwise.

11. Competitions and social media promotions +

Competition and social media promotion details form part of the applicable competition terms. No purchase is necessary unless clearly stated otherwise.

Competitions are not associated with Facebook, Instagram, TikTok or other social media platforms unless explicitly stated.

Entry is open to eligible entrants as stated in the competition post or promotional material. Employees, contractors and immediate family members of The Women’s Health Clinic may be excluded.

Prizes are as stated and there is no cash alternative unless we agree otherwise in writing. Prizes are non-transferable and may be subject to clinical suitability, availability or service-specific terms.

The promoter’s decision is final. We reserve the right to refuse, disqualify or withdraw entries that are incomplete, fraudulent, unlawful, offensive, automated, mass-generated or otherwise inconsistent with the competition terms.

12. Complaints +

The Women’s Health Clinic aims to treat clients appropriately, compassionately and fairly. If you have a concern about any matter relating to your treatment, care or service, you may make a complaint in person, by telephone, by email or in writing.

All complaints are automatically delivered to the Director of Patient Relations. Within 7 days of receiving a complaint, we aim to contact you and listen to your concern.

In many cases, we are able to resolve concerns without escalating the matter as a formal complaint.

Where a complaint becomes formal, a complaint ticket is created on our compliance portal and an acknowledgement letter is sent with a unique reference number within 7 days of the complaint ticket being created.

We then carry out a Stage 1 investigation and aim to respond within 28 days of the formal complaint acknowledgement letter that contains the unique reference number.

If you are not happy with the Stage 1 outcome, you may request escalation to a Stage 2 investigation, where the matter goes directly to the Director of Finance.
